This Privacy Policy applies exclusively to data collected via our website and our sales chatbot (e.g. demo bookings, newsletter sign-ups, or general enquiries). It explains how Fuzzlab Limited (“we”, “our”, or “us”) processes your personal data in these contexts.

If you are using a Fuzzlab-powered chatbot or AI agent on behalf of a housing provider, local authority, or enterprise client, please refer to their own privacy policy. In those cases, the client acts as the Data Controller, and we act as their Data Processor under a separate agreement.

2. Who We Are

Fuzzlab Limited is a UK-registered company providing AI-driven communication tools to the public sector. We act as the Data Controller for personal data collected via our own website and sales chatbot. For client-facing deployments (e.g. resident-facing chatbots or integrations), we act as a Data Processor on behalf of our clients, who are the Data Controllers.

3. What Personal Data We Collect

We may collect and process the following categories of personal data:

  • Identity Data: name, email address, organisation, job title
  • Contact Data: phone number, postal address (if provided)
  • Usage Data: pages visited, interaction events, referring URLs
  • Marketing Preferences: newsletter subscription status
  • Technical Data: browser type, device, IP address, operating system
  • Content Data: messages or queries submitted through contact forms or chatbots
  • Cookie Data: via tracking and analytics (see Section 7)

4. How We Collect Personal Data

We collect personal data:

  • Contract – when processing demo requests or fulfilling services

  • Marketing tracking (only if consent is provided)

8. Use of AI & Azure OpenAI Services

For AI services deployed on behalf of clients, we process data under their instructions and agreements. In those cases, our role is that of a Data Processor, and all data handling follows our client’s privacy and compliance requirements.

Some interactions (e.g. chatbots) may involve responses generated using Microsoft Azure OpenAI, which operates under strict compliance terms:

  • All data processing remains within Microsoft’s UK and EU data centers
  • No training of models occurs on your data
  • Conversations are stateless and not stored by the model provider.

9. Email Logging and Communication

We securely log:

  • Email addresses submitted through forms
  • Timestamps of demo or enquiry submissions
  • Email engagement metrics (opens, clicks) for newsletter optimisation

Logged emails are stored only for the duration required to handle your enquiry or provide service, and never sold or shared.

10. Newsletter Subscription

We collect your name and email address when you opt in to our newsletter. You may unsubscribe at any time by clicking the unsubscribe link or contacting us directly. We use providers like Mailchimp or SendGrid who operate under GDPR-compliant terms.

Under UK GDPR, you have the right to:

  • Access your data
  • Correct or delete your data
  • Object to or restrict processing
  • Withdraw consent at any time
  • Lodge a complaint with the ICO

If you are interacting with a Fuzzlab-powered system provided by one of our clients (such as a local authority or housing provider), please direct any data access or deletion requests to them as the Data Controller.

  • For legal or tax obligations (usually 6 years for contracts and invoices)
